These Terms & Conditions govern the hire of equipment and services from HitchedOnFilm (“we”, “us”, “our”).

By placing a booking through our website or otherwise, you agree to be bound by these Terms & Conditions.

1. About Us

HitchedOnFilm provides retro video camera hire and related services for weddings and events in the UK.

2. Definitions

  • Customer / You – the person or organisation hiring equipment from us

  • Equipment – all cameras, accessories, batteries, chargers, media, and packaging supplied

  • Hire Period – the agreed period of hire confirmed at booking

  • Services – equipment hire, delivery, return, footage processing, and optional editing services

3. Bookings & Payment

  • All bookings are subject to availability.

  • A 50% deposit is required at the time of booking to secure your hire date.

  • Your booking is not confirmed until the deposit has been received.

  • The remaining balance must be paid by the date stated in your booking confirmation.

  • Prices are as listed on our website at the time of booking unless otherwise agreed in writing.

4. Delivery & Return

  • Equipment will be delivered to the address provided during booking.

  • You are responsible for ensuring someone is available to receive the Equipment.

  • All Equipment must be returned using the provided return method immediately after the Hire Period ends.

  • Late returns may result in additional charges.

5. Use of Equipment

  • Equipment must be used carefully, responsibly, and only for lawful purposes.

  • Equipment must not be sub-hired, sold, modified, or used for resale or commercial hire.

  • You are responsible for the Equipment from the time it is delivered until it is safely returned to us.

6. Loss, Damage & Security Deposits

  • You are liable for any loss, theft, or damage beyond reasonable wear and tear.

  • We may require a security deposit to cover potential repair or replacement costs.

  • If repair or replacement costs exceed the deposit, you agree to pay the outstanding balance.

7. Footage & Editing Services

  • We are not responsible for the quality, framing, audio, or completeness of footage captured by you or your guests.

  • Raw footage will be supplied digitally after the Equipment has been returned.

  • Editing services are creative in nature and final edits are delivered at our professional discretion.

8. Cancellation Policy

8.1 Deposit

  • A 50% non-refundable deposit is required at the time of booking.

  • The deposit represents a genuine pre-estimate of loss, including loss of availability, preparation, and administration costs.

8.2 Cancellation by You

  • Cancellations must be made in writing via email to hello@hitchedonfilm.co.uk.

  • A minimum of 14 days’ notice before the hire or event date is required.

Cancellations with 14 days’ notice or more:

  • The deposit remains non-refundable.

  • Any additional payments made above the deposit may be refunded where we are able to re-hire the Equipment, at our discretion.

Cancellations with less than 14 days’ notice:

  • The deposit remains non-refundable.

  • You may be liable for the remaining balance where we are unable to re-hire the Equipment.

8.3 Event-Specific Services & Cooling-Off Rights

Our services are provided for specific event dates.

As such, the statutory 14-day cooling-off period under the Consumer Contracts Regulations 2013 does not apply once a booking has been confirmed.

8.4 Cancellation After Dispatch

Once Equipment has been dispatched, the booking is considered in progress and no refunds will be issued, except where required by law.

8.5 Cancellation by Us

If we are required to cancel your booking due to unforeseen circumstances, all payments received will be refunded in full.

Our liability is limited to the total amount paid by you.

8.6 Force Majeure

We are not liable for failure or delay caused by events beyond our reasonable control, including but not limited to natural disasters, transport disruption, strikes, or government restrictions.

9. Limitation of Liability

  • Our total liability is limited to the amount paid by you for the relevant hire.

  • We are not liable for indirect or consequential losses, including loss of footage or memories.

10. Privacy & Data Protection

We process personal data in accordance with applicable UK data protection laws.

11. Governing Law

These Terms & Conditions are governed by the laws of England & Wales, and any disputes shall be subject to the exclusive jurisdiction of its courts.
